About AgencyExpress
  • AgencyExpress was developed by aidmatrix.  It is a product that is available to all food banks in the Feeding America network.


  • Since all food banks share the same application, AgencyExpress is currently not very customizable to each food bank.   
    (aidmatrix is hoping to change this in the next version)

Browser Requirements
  • AgencyExpress will work on most modern web browsers, however using Internet Explorer 6.0 is highly recommended.
  • JavaScript must be enabled.

  • Monitor Resolution:
    • Minimum: 800 x 600
    • Recommended: 1024 x 768

Monitor Resolution

    • Minimize all programs
    • Right-Click anywhere on the desktop
    • Select Properties
    • Select the Settings Tab
    • In the Screen Resolution Frame, click and drag the bar to your desired resolution.
    • Select OK to close out

Registration
  • Before you can login to AgencyExpress you will need to register for a login.  Unfortunately this registration and login is separate from the agency zone because AgencyExpress is third-party software.
  • To register for an AgencyExpress login, you will need to complete an online form on the Agency Zone.  This will put your request in a queue to be fulfilled by a Second Harvest Heartland staff member. You will receive an email when your login has been setup. Typical account creation takes about 2-3 business days.

Getting to AgencyExpress
  • Open a web browser
  • Navigate to: 2harvest.org
  • Click on the Agency Zone Icon ->
  • On the home page of the Agency Zone in the shortcuts section, there will be a link to the AgencyExpress Login.

Login
  • Your login information consists of three fields:
    • User Name
    • Password
    • Program Code


  • Check “Remember my User Name and my Program Code on this computer” to save your login information in the web browser.

Login – User Name
  • Your User Name is most likely your first name separated with a period and then your last name.  For example “John.Doe”
  • The User Name field IS NOT case sensitive.

Login - Password
  • The default password for each login is change12.  After logging in the first time, please change your password.
    (Click on “Change Password” in the Main Menu)
  • If you forgot your password, there is a utility on the login page that will email your password to you.
  • The Password field IS case sensitive.

Login – Program Code
  • Program Code: The program code is a unique code that identifies which food bank you are ordering from and what agency you are ordering for. The program code is broken into three parts:

  • There are two main ways to shop:
    • Browse Shopping List
    • Printable List

Shopping - Browse Shopping List
  • You can browse the shopping list by three methods:
    • Item Code
    • Item Name/Description
    • Show All
  • Browsing the Shopping List is similar to browsing grocery store aisles

Shopping - Printable List
  • The Printable List is a listing of all our products, displayed in a printable format.
  • This list is very similar to our static list, however it is more current.

Shopping - Viewing Items
  • Product Name: This is the name of the product.
  • Item Code: Unique code that identifies each product.
  • Maximum Order Quantity: Currently, this is equal to our available inventory.
  • Unit Price: Handling fee per unit of the product.
  • Unit of Measures: How the product is distributed.
  • Pack Size: How individual products are distributed.
  • Gross Weight (in lbs): Weight of the product.
  • Handling Requirements: How the product needs to be stored.
  • Packaging Type: Individual packaging type.
  • VAP Fee: Extra fee for products that require extra attention.

Shopping – Adding to Cart
  • To add to your shopping cart, enter the quantity of the product you would like to order and click on the “Add To Cart” button.
  • When you are done adding items, click on the “Check out” button.

Shopping Cart
  • The shopping cart is where you verify and submit your order.  Feel free to adjust quantities on your order from this screen.

Shopping Cart - Header
  • Reference Number:
    A unique code to reference the specific order.
  • Pickup Date:
    Your requested pickup time,
  • Pickup Time:
    ALWAYS leave this field blank. If this field is filled out, your order will not go through.
  • Shipment Method:
    Desired Shipment Method
  • Delivery Instructions:
    Use this field to request a pickup or delivery time and location or to add any other special instructions.

Shopping Cart – Submit Cart
  • After you have updated the header, you can review your order.  You can either make adjustments or submit your cart.
  • To make adjustments, change the order quantities and click on the “Update Lines” button update your order.
  • Click on “Submit Cart” to submit your order.

Order Confirmation
  • Before exiting, wait for the message:
    “Your Purchase order has been sent to the food bank successfully.”


  • If you do not see this message your order has NOT been submitted.


  • Once the order has been received and approved, you will receive an e-mail with a copy of your order and confirmed delivery or pickup time.

Modifying an Existing Order
  • Adding Items or Increasing Quantities
    • Create a new order, add the items/quantities, and checkout.
    • Please provide your original order number in the delivery instructions.
  • Removing Items or Reducing Quantities
    • Email, fax, or call the agency service desk and request to have items removed or reduced. Please provide the order desk with your order number.

Order Management
  • Order Management is a section that allows you to review previously placed orders and invoices. To view your order or invoice details, click on the relevant reference number.
